Planning Calendar 3-6 Months Before

Begin recruiting Tribe Leaders.
Tribe Leaders are like parents in the tribal family. Tribe Leaders can be teenagers, college students, parents, or grandparents. They need only to love the Lord and have good relational skills. For more information on recruiting, see the “Recruiting” section beginning on page 75.

Tribe Leaders should plan to participate in the Jerusalem Marketplace program for the entire adventure. If they need to be absent one or more days, encourage them to find their own substitutes.

Begin publicity.
Create a large outdoor banner that will be easy to read as cars drive by your facility. Fill in your program’s dates and times. Display the banner in a prominent outdoor location. (Outdoor banners are available from Group Publishing or your local Group supplier.)

Hang Jerusalem Marketplace theme posters (available from Group Publishing or your local Group supplier) in your church and community.

Show the promotional segment of the Shalom! DVD during a worship service or other church gathering. This two-minute segment gives people a glimpse of how the program works and what families will learn at this unique experience. You’ll find that the DVD helps build enthusiasm, recruit volunteers, and promote attendance for your program.

Begin gathering supplies.
Refer to the master supply list on pages 56-57. (Note: Some shops or other areas may not require all the supplies listed since leaders can choose which activities they would like to do.) Consult with staff members to inform them of how you’ll handle supply collection. Will you gather all supplies, or will each leader gather his or her own supplies? You may want to ask church members to donate food supplies (such as frozen roll dough and Bible-times candy) or easy-to-find items (such as blankets).

Plan your daily schedule.
The average program runs for about two hours each day. Group’s Jerusalem Marketplace materials have been developed with these parameters in mind. For a two-hour program, each Gathering session should last ten minutes. Tribe Time should last twenty minutes (at the beginning and end of the day), and everyone will spend fifteen minutes in Synagogue School and Village Playground. Everyone will spend thirty minutes in the Marketplace.

See the daily schedules on pages 62-63 to see how this works. If your program will meet for more or less time than two hours each day, you’ll need to adapt these times accordingly.
